Subscription and Billing Policy

1. Introduction and Scope

1.1. This Subscription and Billing Policy (“Policy”) governs the purchase and use of subscriptions for the “Onemoola for Work” services (“the Services”), which include managed Google Workspace solutions and related support and consultation provided by Onemoola (PTY) Ltd (“Onemoola”, “we”, “us”).

1.2. This Policy forms an integral part of our main Terms of Use and Privacy Policy. By purchasing a subscription to the Services, you agree to be bound by the terms outlined herein.

2. Subscription Plans and Pricing

2.1. The features for our subscription plans (“Starter”, “Business”, “Enterprise”) are detailed on our official Google Workspace Pricing page.

2.2. Base Pricing and Currency: The underlying cost for the Google Workspace subscription component of the Services is determined by Google’s prevailing list prices, which are set and quoted in United States Dollars (USD). Onemoola does not control this base pricing, which is subject to change at any time by Google in accordance with their terms.

2.3. Our Pricing to You: Onemoola aligns its billing with Google’s USD pricing. The final price invoiced to you will be in United States Dollars (USD). Onemoola, at its discretion, may apply custom discounts or promotions to Google’s base price. Any such discounts will be reflected on your invoice.

2.4. Price Modifications: We will notify you of any changes to Google’s base pricing that affect your subscription fee. Any changes will become effective in the subsequent billing cycle following notification.

3. Billing, Invoicing, and Payment

3.1. Billing Cycle: We offer both monthly and yearly subscription plans.

Monthly Plans: You will be billed in advance for each month of service.

Yearly Plans: You will be billed in advance for the entire 12-month period.

3.2. Billing Timing: For your convenience, billing occurs on a consolidated basis. You will be invoiced on or around the last day of each month for the upcoming service period (e.g., you will be invoiced at the end of June for services rendered in July).

3.3. Pricing on Invoice: Your invoice will clearly state the applicable Google Workspace USD list price, any discounts applied by Onemoola, and the final amount due in USD.

3.4. Payment Method: All payments are processed securely through our payment partner, Paystack. By subscribing, you authorize Onemoola, through Paystack, to automatically charge your selected payment method (e.g., credit card, debit card) for the USD amount due at the beginning of each billing cycle. It is your responsibility to maintain valid and up-to-date payment information. You acknowledge that your bank or card issuer may charge foreign currency transaction fees, for which Onemoola is not responsible.

3.5. Invoicing: You will receive one consolidated invoice from Onemoola via email detailing all subscribed services and the final amount due in USD for the billing period.

3.6. Non-Payment: Should a payment fail, we will notify you to update your payment information. If payment is not successfully processed within a reasonable grace period, we reserve the right to suspend or terminate your access to the Services until payment is received.

4. Subscription Term and Renewal

4.1. Your subscription will commence on the date of your successful initial payment and will continue for the term you selected (monthly or yearly).

4.2. Automatic Renewal: To ensure uninterrupted service, your subscription will automatically renew at the end of each term for a subsequent term of the same duration. By subscribing, you authorize us to automatically charge the subscription fee for the renewal term to your payment method on file, unless you cancel your subscription in accordance with Section 5 below.

5. Cancellation and Refunds

5.1. Cancellation of Onemoola Managed Services: You may cancel your subscription to Onemoola’s managed services by providing us with a minimum of thirty (30) days’ written notice before the end of your current billing term. Notice should be sent to accounts@onemoola.com.

5.2. Effect of Cancellation: Upon cancellation, your subscription will remain active until the end of your final paid billing period. After this period, Onemoola’s managed services will cease, and you will not be billed further.

5.3. Transfer of Google Workspace Subscription: Following the cancellation of your Onemoola managed services, we will facilitate the transfer of your underlying Google Workspace subscription directly to Google for direct billing. You will be responsible for setting up your payment method with Google to ensure the continued use of your Google Workspace account. Onemoola is not responsible for any service interruption resulting from a failure to establish direct billing with Google.

5.4. Refund Policy: Subscription fees are paid in advance and are generally non-refundable for the current billing period, except as required by applicable law. No refunds or credits will be provided for partial months or years of service, upgrades/downgrades, or for unused time with an open account.

6. Upgrades and Downgrades

6.1. You may upgrade or downgrade your subscription plan at any time through your account dashboard or by contacting us via email at accounts@onemoola.com.

6.2. Upgrades: If you upgrade your plan, the change will be effective immediately. You will be charged a prorated amount for the remainder of your current billing cycle, and your new, higher rate will apply in full from the next billing cycle.

6.3. Downgrades: If you downgrade your plan, the change will take effect at the start of your next billing cycle. No credits or refunds will be issued for downgrades that occur mid-cycle.

7. Complimentary Consultation

7.1. New clients are entitled to one (1) initial 20-minute online consultation at no charge. This consultation is complimentary and obligation-free.

7.2. Any further consultation beyond this initial session will be subject to our standard consulting fees, which will be communicated and agreed upon with you in advance.

8. General Terms

8.1. Taxes: All prices are quoted exclusive of any applicable taxes. For South African customers, Value-Added Tax (VAT) will be calculated and added to your invoice as required by law. The final amount due on your invoice will include all applicable taxes.

8.2. Fair Use: Your use of the Services is subject to fair use limitations as may be detailed in our main Terms of Use to prevent abuse and ensure service quality for all users.

8.3. Amendments: We reserve the right to amend this Subscription and Billing Policy at any time. We will notify you of any material changes, which will become effective at the start of your next billing cycle.
